Data Deletion

This page explains how to delete data held by Algorise Ltd (company number 16172498), registered at 55 King Street, 22 Carter House, Maidenhead, SL6 1EB ("Algorise", "we", "us"). It covers data you can delete yourself inside the platform, how to ask us to delete data on your behalf, how long deletion takes, and what we are legally required to keep. It applies to the Algorise platform at try.algorise.ai, this website, and any Algorise-operated assistant you interact with on a connected messaging channel.

1. Who is responsible for your data

Which route applies to you depends on how you use Algorise:

  • You signed up directly: Algorise is the data controller. Use the self-serve steps in Section 2, or send us a request under Section 3.
  • Your employer or another organisation gave you access: that organisation is the data controller and Algorise acts as their processor. We will action deletion requests, but for content inside their workspace we may need to refer you to them first, and we will tell you if we do. You can always contact us directly and we will route the request.
  • You messaged an Algorise-operated assistant on a third-party channel: see Section 7.

2. Delete data yourself in the platform

Signed in at try.algorise.ai, you can delete the following without contacting us:

  • A conversation: open the conversation list in the sidebar, open the menu on the conversation you want to remove, and choose delete. This removes the conversation and its messages.
  • Uploaded documents: open the collection holding the document, select the document (or several), and delete. This removes the file and its indexed vector embeddings.
  • Memory: go to Memory, where you can review individual stored facts, delete them one by one, export everything we hold as a file, or erase all memory at once.
  • A member of your organisation (admins): Settings → Organization → Members, then remove the member. This deletes their user account from both our authentication provider and our database.
  • Your entire organisation (owners only): Settings → Organization → Danger zone → Delete organization. You will be asked to retype the organisation name to confirm. This removes the organisation, its members, and its associated data.

Deleting your organisation is irreversible. Export anything you need first.

3. Ask us to delete your data

If you cannot sign in, no longer have an account, or want everything removed, ask us directly:

  1. Open our contact form, or email support@algorise.ai.
  2. Use the subject line Data deletion request. The contact form pre-fills this for you.
  3. Tell us the email address associated with your account, the organisation name if you know it, and any other identifier you used (for example the phone number or handle you messaged us from on a connected channel).
  4. Tell us whether you want everything deleted, or only specific items (a given conversation, document, or memory).
  5. Submit. The contact form returns a reference code on screen — keep it, and quote it in any follow-up.

There is no charge for a deletion request, and you do not need to give a reason.

4. How we verify your identity

Before deleting anything we confirm the request genuinely comes from you, so that nobody can erase someone else's data. Normally it is enough that the request comes from the email address on the account. If it does not, or if the request covers a whole organisation, we will ask for additional confirmation — for example a reply from the registered address, or confirmation from an administrator or owner of the organisation. We will only ask for what is necessary to establish identity, and we will not use that information for any other purpose.

5. Timelines

  • Acknowledgement: within 5 business days of receiving your request.
  • Completion: within 30 days, in line with the one-month response period under UK GDPR. If a request is complex we may extend this by up to two further months, and we will tell you before the first month is up and explain why.
  • Live systems: data is removed from databases, file storage, and vector stores as part of that 30-day window.
  • Backups: residual copies in encrypted backups are purged on our normal rotation, within 90 days. They are not accessible for ordinary use in the meantime and are not restored except in a disaster-recovery event.
  • Sub-processors: where a sub-processor listed in Section 9 of our Privacy Policy holds a copy, we instruct them to delete it as part of the same request.

Self-serve deletions in Section 2 take effect immediately in the platform, with backup purge following the same 90-day rotation. We will confirm in writing once a requested deletion is complete.

6. What we may keep, and why

Deletion rights are not absolute. We may retain a limited set of data where the law requires or permits it:

  • Payment and invoicing records: retained as required by UK tax and accounting rules, typically 6 years.
  • Security and audit logs: retained for up to 12 months for fraud prevention and security monitoring, then deleted or anonymised.
  • Suppression records: the minimum needed to record that you asked to be deleted or unsubscribed, so we do not re-contact you by mistake.
  • Legal claims: data needed to establish, exercise, or defend a legal claim, for as long as that claim is live.
  • Anonymised data: aggregate statistics that can no longer be linked to you are not personal data and may be retained.

If we cannot delete something you asked us to delete, we will tell you which item, and on what legal ground we are keeping it.

7. Connected platforms and messaging channels

Where you reach an Algorise-operated assistant through a third-party platform — for example WhatsApp, Instagram, Facebook Messenger, or a website widget — or where you signed in using a third-party account such as Google, the same routes apply, with two additions:

  1. To delete the data that Algorise obtained from that platform, follow Section 3 and include the identifier you used on that channel — the phone number, profile name, or handle you messaged from. We will delete the messages, profile information, and any derived records we hold from that channel.
  2. To disconnect Algorise from that platform, remove the app or integration in the platform's own settings. For Meta products this is Settings → Apps and Websites; for Google accounts it is the Third-party apps and services page. Removing the connection stops further data flowing to us, but does not by itself delete what we already hold — send the request in Section 3 for that.

Deleting data from Algorise does not delete your account or message history on the third-party platform itself. That is controlled by that platform and has to be done there.

8. Export before you delete

Deletion is permanent and we cannot recover data afterwards. If you want a copy first, you can export your memory directly from the Memory view, and you can ask us for a full export of your data in a structured, machine-readable format under your right to data portability. Ask for the export in the same message as the deletion request and we will send the export before actioning the deletion.

9. If you are unhappy with the outcome

Tell us first — reply to our response and we will review it. You also have the right to complain to the Information Commissioner's Office, the UK supervisory authority for data protection, at ico.org.uk. If you are in the EEA you may complain to your local supervisory authority. If you are a California resident, see Section 15 of our Privacy Policy for your CCPA rights, including the right to delete and our commitment not to discriminate against you for exercising it.
